Privacy Policy

1. Introduction

This Privacy Policy explains how 43c, LLC (“Reapertime,” “we,” “us,” or “our”) collects, uses, and discloses information about you when you use the Reapertime platform, including the Gauge mobile app for swimmers and families, the Swim Brain meet-management software, and our websites (collectively, the “Services”).

By using the Services, you agree to the collection and use of information in accordance with this policy.

2. Information we collect

We collect the following categories of information:

  • Account information — your name, email address, password (stored only as a secure hash), and your role (for example, coach, official, swimmer, parent, or fan).
  • Sign-in providers — if you sign in with Apple or Google, we receive basic profile details (such as name and email) from that provider as permitted by your settings.
  • Profile & preferences — optional profile photo, team affiliation, the teams and swimmers you follow, and your notification preferences.
  • Competition data — meet schedules, entries, heats, lane assignments, times, and results. This data is entered by event organizers using Swim Brain and may include the names, ages, and results of swimmers, some of whom may be minors (see Children’s privacy).
  • Device & usage information — device type, operating system, app version, approximate language/region, push-notification tokens, log data, and diagnostic/crash information used to keep the Services reliable.

3. How we use information

  • Provide, operate, and maintain the Services.
  • Run competitions and deliver live results, leaderboards, and spectator displays.
  • Send push notifications you’ve opted into (for example, when a race you follow goes live or a result is posted).
  • Authenticate you, secure your account, and prevent fraud or abuse.
  • Improve and troubleshoot the Services, including diagnostics.
  • Communicate with you about service-related matters.
  • Comply with legal obligations.

4. How information is shared

We share information only as described below. We do not sell your personal information.

  • Within a competition — competition data (such as results and rankings) is, by its nature, visible to participants, teams, families, and spectators of that event.
  • Service providers — we use trusted vendors that process data on our behalf, including cloud hosting and database infrastructure, push-notification delivery, and authentication providers (Apple, Google). They may only use the data to provide services to us.
  • Legal & safety — when required by law, or to protect the rights, property, or safety of Reapertime, our users, or others.
  • Business transfers — in connection with a merger, acquisition, or sale of assets, subject to this policy.

5. Children’s privacy

Swimming involves participants of all ages, including young children. To stay consistent with children’s privacy laws such as COPPA, an individual account may only be created by a person who is 13 years of age or older. We do not knowingly allow children under 13 to create their own account, and we do not knowingly collect personal information directly from a child under 13.

Younger swimmers are still fully supported — just not through their own account. A parent or guardian can add a child as a swimmer they follow and track under the parent’s own account, and clubs, coaches, and event organizers can include a swimmer (including their name, age group, and results) when running a competition in Swim Brain. In both cases an adult provides the information and is responsible for obtaining any required parental consent; we process that information on their behalf.

If you are a parent or guardian and believe a child under 13 has created an account or provided us personal information without your consent, please contact us at support@reapertime.com and we will take steps to delete it.

6. Data retention

We retain personal information for as long as your account is active or as needed to provide the Services, comply with legal obligations, resolve disputes, and enforce our agreements. Competition records may be retained as part of a club’s or event’s historical results.

7. Your choices and rights

You can review and update your profile in the app, manage your notification preferences, and delete your account at any time using Profile → Delete Account, which removes your personal account data.

Depending on where you live, you may have rights to access, correct, delete, or port your personal information, or to object to or restrict certain processing. To exercise these rights, contact us at support@reapertime.com.

8. Security

We use administrative, technical, and physical safeguards designed to protect your information, including encryption in transit and secure storage of credentials. No method of transmission or storage is completely secure, so we cannot guarantee absolute security.

9. International data transfers

We are based in the United States, and your information may be processed in the United States or other countries where we or our service providers operate. Where required, we use appropriate safeguards for such transfers.

10. Changes to this policy

We may update this Privacy Policy from time to time. We will post the updated version here and revise the “Last updated” date above. Material changes may be communicated through the Services.

11. Governing law

This Privacy Policy and any dispute arising out of or relating to it or the Services are governed by the laws of the Commonwealth of Virginia, United States, without regard to its conflict-of-laws principles. 43c, LLC is organized under the laws of the Commonwealth of Virginia.
